Job Description – Administrative Assistant

The administrative assistant (AA) is a full time position with a 12-month work schedule. The AA supports school operations by maintaining efficient office operations support to staff, families, students and management. 

The administrative assistant reports to the Head of School (HOS) and COO. Hours are M-F -7:30 AM - 4:00 PM (but may vary) as well as board meetings and any events or meetings as assigned by the HOS, COO and Administration team.

Major Function

Duties as assigned by the Head of School, Principal, COO and Administrators such as:

o Write and edit emails, create memos and newsletters and prepare additional communications and  documents to be sent out to staff and/or families.

o Organize meetings including scheduling, sending reminders, organizing

any necessary documentation, and sending follow up communications.

o Answer all incoming calls for the Front desk with professionalism and patience & relay any pertinent information to the appropriate person, and either schedule a meeting or follow-up call.

o Plan for any important guests of the HOS, COO and/or school; prepare meeting

space and any documents, information or slides as needed.

o Provide all communication, as the HOS directs.

o Any other duties as assigned.

o Provide completed and signed paperwork in a timely manner.

Responsibilities:

Articulate and facilitate the implementation of the mission and values of the

school.

Safeguard confidentiality of privileged information.

Attend board meetings, take minutes and post minutes in a timely manner

Answer phones professionally and greet visitors with a smile, providing information on school policies and procedures with patience and professionalism in a friendly manner

Prepare and maintain accurate and complete records and reports as required

Share the responsibility for the supervision and care of school inventory,

proper and safe use of facilities, equipment and supplies, and report safety

hazards promptly.

Maintain professional relationships and work cooperatively with Administrators, employees,

the community and other professionals. 

Maintain communication with parents, students and staff regarding schedules and events.

Maintain professional competence through individual and staff training, in-

service educational activities and professional growth activities.

Assist with tracking in service and professional development tracking.

Respond & Resolve administrative inquiries and questions.

Attend staff meetings and participate on committees within area of

responsibility.

Assist other members of the academic administrative team, including but not

limited to student services director, Business manager, deans, and academic coaches.

Perform other tasks related to area of responsibilities as requested or

assigned.

Provide backup support for the receptionist, front office, and health & wellness coordinator position.

Check assigned email inboxes for important updates and parent

communication.

Any other duties as assigned.

Minimum Qualifications

Required: 

Proficient computer skills- Google suite and Microsoft Office, Quick Books, data entry 

Strong organizational and communication skills (both written and verbal) & attention to detail.

Excellent decision-making, time management and problem-solving skills.

2+ years experience

Ability to meet deadlines, work on multiple projects, multitask, prioritize and coordinate the work of others. Ability to work independently and take initiative with little direction
